Information regarding rights of individuals affected

Under Article 15 of EU General Data Protection Regulation (EU-GDPR), the data subject has the right to obtain from the controller confirmation as to whether or not personal data concerning him or her are being processed, and if so, what data is specifically being processed. For this, a copy of the data can be obtained, as long as there is no legal exemption. Should the data be incomplete or incorrect, the subject has the right to rectification in accordance with Article 16 EU-GDPR.

Further rights of individuals affected are:

  • Art. 17 EU-GDPR: Erasure of personal data, when there is a cited cause for erasure.
  • Art. 18 EU-GDPR: Restriction of processing of personal data, when there is a cited cause.
  • Art. 20 EU-GDPR: Data portability to a provider, when the processing happens based on consent or on a contract.
  • Art. 21 EU-GDPR: The data subject has the right to object, on the grounds relating to his or her particular situation, to the otherwise legal processing of personal data.
  • Art. 22 EU-GDPR: The data subject shall have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning him or her or similarly significantly affects him or her.

Information about individual processings

Processing of log data (access data): When using the web service, the access to the pages, whether or not the access was successful, the time, the data volume transferred and the IP address of the device are evaluated in order to recognise errors. The processing happens only internally and on the basis of Art. 6(1)(f) EU-GDPR, whereas the interest lies in error detection. The stored log data is deleted automatically after 7 calendar days.

Automatic log-in on smartphones

When using the web service with an account, it is possible to stay logged in with a smartphone. For this, a cookie is placed on the device with the encrypted log-in data. Simultaneously, a digital fingerprint of the device is placed on the server. The digital fingerprint is calculated on the basis of various parameters. For this, following information is evaluated:

  • SCREEN_SIZE_AND_COLOR_DEPTH (screen size and color depth)
  • DEVICE_ATTRIBUTES: id, model, vendor, build, device_os_version (attributes of device in use: ID, model name, manufacturer, series, OS version of device)
  • ACCEPT_LANGUAGE (language settings)
  • TIME_ZONE (time zone)
  • DEVICE_TYPE (device type)
  • BROWSER_TYPE (browser type)


The data used for the identification of the device is stored on the university server. The storage and processing occurs based on an agreement in accordance with Art 6(1)(a) EU-GDPR, which is provided by the user of the device when activating the automatic log-in function. No data is shared with third parties. The data is used exclusively for the clear identification of the device used, in connection with the automatic log-in. An automatic log-in is only successful when the digital fingerprint matches, the username and password can be decrypted and the actual log-in data matches. Automatic log-in will be deleted automatically should it not be used for 4 weeks. Additionally, the user can always deactivate automatic log-in in their account settings, e.g. when the device is lost. By storing the device´s data mentioned above, the user can keep multiple devices seperate in his/her account and deactivate automatic log-in for individual devices. The processing of the data is legitimized by the agreement up to the point of withdrawal.

Cookies

This program uses cookies. Cookies are small data files with short texts for technical processing. Without cookies, for example when they are deactivated in the browser, the program cannot be used to its fullest extent. Here a short list of the cookie:

Purpose
The purpose for the use of the technically necessary cookies is to simplify the use of websites for users. Some functions of our website cannot be accessed without the use of cookies. For this reason it is necessary that the browser is recognized even after a page change. The user data collected by the cookies will not be used to create user profiles.

To this purpose, our legitimate interest in the processing of personal data also lies in accordance with Art. 6 Para. 1 lit. f DS-GMO.

Legal basis
The legal basis for the processing of personal data using cookies is Art. 6 Para. 1 lit. f DS-GMO.

Recipient
The recipient of the information contained in the cookies is exclusively the authorized web server, i.e. the web server of the university setting the cookie.

Duration of data retention
You can find the storage time of the cookies in the table above. As the cookies are stored on your terminal device, you also have the option of deleting them earlier. For more information, see below.

The consequences of non-indication, the possibility of objection or removal of cookies
Cookies are stored on the user’s computer and transmitted to our site. You as a user therefore, have full control over the use of cookies regardless of the storage periods listed above. You can deactivate or restrict the transmission of cookies by changing the settings in your internet browser. Cookies that have already been saved can be deleted at any time. This can also be done automatically. If cookies are deactivated for our website, it may no longer be possible to fully use all the functions of the website.

Use of Matomo

We use Matomo on our website to analyze the usage behavior of our visitors. Matomo collects data on things like the referrer website a particular user accessed before visiting our website, the subpages of the website the user visits, the amount of time the user spends on a web page, or how often the user visits the page.

The IP address you use to access our website is anonymized. Matomo is configured to mask two bytes of the IP address (e.g.: 192.168.xxx.xxx). This makes it impossible to associate the IP address with the device used to access the site.

Matomo sends text files (so-called cookies) to your web browser. For the analysis of web page behavior, the usage information stored on the cookie is sent to our computers. These data are stored exclusively on University of Freiburg servers. The stored usage data are not passed on to third parties. They are not combined with data collected from other pages requiring a disclosure of personal data.

The analysis of the usage behavior of our visitors helps us to optimize our website and make it more user-friendly. This constitutes our legitimate interest in processing data in accordance with § 6 para. 1 lit. f GDPR.
By anonymizing the IP address, we take into sufficient account the interest of the users in protecting their personal data.

You can prevent cookies from being stored on your computer via a corresponding browser setting; however, we would like to point out that if you do so you will not be able to use some functions of our website to their full extent (see above).
